File Manager is a feature that allows you to view all your files in one global list without folders.

File Manager includes:

- files search that will make it easier for you to find the correct file

- filters that allow you to view files by groups, projects, statuses, and assignees

- change file statuses, and metadata directly in the File Manager

The File Manager feature is available in the Team plan.

How to use filters

File Manager consists of 4 filters:

1. Filter by Groups including conditions:

  • "Unselect all/Select all" - removes and checks all the boxes on the conditions;

  • "None" shows files of all outgroup projects;

  • "Name Group" shows the files of the selected group.

2. Filter by Projects includes conditions:

  • "Unselect all/Select all" - remove and check all the boxes on the conditions;

  • "Project name" - shows the files for the selected project.

3. Filter by File Statuses includes conditions:

  • "Unselect all/Select all" - removes and checks all the boxes on the conditions;

  • "No set" - shows all files without statuses;

  • "Name Status" - shows files with the selected status.

4. Filter by Assignees shows all files of a user who is an assignee in groups and includes the following conditions:

  • "Unselect All / Select all" - removes and checks all the boxes on the conditions;

  • "Not installed" - shows group files that are not assigned by anyone;

  • "User Name" - shows the files assigned to a specific user.

If you want to select a single filter condition, do the following next steps:

1. Uncheck the "Unselect all" condition

2. Check the box next to the condition you need;

3. Click the "Apply" button to confirm the filter application.

To cancel an applied filter, click on the "Reset all filters" button, which looks like a bin, and click on the "Apply" button to confirm resetting all filters.

If at least one filter is lit in red, no condition was selected in this filter. Set a condition for filters to work correctly.

Search a file

File finder works on top of filters, meaning if they are not set, it will look for all files you have access to.

  • To search for a file by its name, enter its name in the search bar and then click on the "Apply" button.

  • To cancel the search, click on the "Reset all filters" button, which looks like a bin, and click on the "Apply" button to confirm the reset search.

If you remember the name of your file but can't find it in your projects, use the file search and then hover over the file's icon so you'll see its location below, making it easier to find that file.

Manage columns

This feature allows you to customize the file manager to your liking. This customization changes the visual layout only for you, and it will remain in place until you make the same file manager customization on another team or log out. In the column manager, you can swap columns, delete columns, and select the metadata you want to see in the file manager. By default, metadata is hidden.

To open the column manager, click on the “Manage Columns” button.

When you open the column manager, you will see the columns that you had in the file manager. A checkmark next to the column title means that this column is displayed in the file manager and by unchecking the checkmark, the column will not be displayed in the file manager.

As you can see, I have configured the file manager so that only the metadata is visible.
