How to use File manager in Pibox

Learn how to find, manage, and organize your files in Pibox with File manager.

File manager is a centralized space where you can view and manage all your files across projects without needing to open individual folders.

With File manager, you can:

  • Filter files by group, project, status, or assignee to stay organized

  • Quickly search for any file using powerful search tools

  • Update file statuses and metadata directly, without jumping between tabs

This feature gives you a bird’s-eye view of your assets, which is perfect for staying on top of large, fast-moving projects.

The File manager feature is available on the Team plan.

How to use filters in File manager

The File manager includes four main filters to help you quickly find and manage files:

1. Filter by group

View files by their group association:

  • Select all / Unselect all – Quickly toggle all group filters on or off.

  • None – Displays files from projects that are not part of any group.

  • [Group name] – Shows files from the selected group(s).

2. Filter by project

Narrow down files by specific projects:

  • Select all / Unselect all – Toggle all project filters.

  • [Project name] – Displays files from the selected project(s).

3. Filter by file status

Sort files based on their assigned status:

  • Select all / Unselect all – Toggle all status filters.

  • No status – Shows files that don’t have any status assigned.

  • [Status name] – Displays files with the chosen status (e.g., Approved, Needs Review).

4. Filter by assignee

See files assigned to specific users or unassigned:

  • Select all / Unselect all – Toggle all user filters.

  • Not assigned – Displays files not assigned to anyone.

  • [User name] – Shows files assigned to that user (including yourself, marked as “Me”).

How to apply a single filter option

  1. Click Unselect all to clear the current selections.

  2. Select the checkbox next to the option you want.

  3. Click Apply to activate the filter.

How to reset filters

To remove all applied filters:

  1. Click the Reset all filters button (a cross icon).

  2. Then click Apply to confirm and clear all selections.

Note: If any filter section is highlighted in red, it means no option is selected there. To ensure the filters work properly, make sure at least one option is checked in each active filter.

How to search for a file

The file search tool works in combination with filters. If no filters are applied, it will search across all files you have access to.

How to search:

  • Enter the file name into the search bar.

  • Click Apply to see the results.

How to clear your search:

  • Click the Reset all filters button (a cross icon).

  • Then click Apply again to confirm and refresh the full file list.

Note: If you remember the file name but not its location, use the search and hover over the file’s icon. Its exact location (group/project) will be displayed, helping you navigate to it quickly.

How to manage columns in File manager

The Manage columns feature lets you fully customize your File manager view. Changes are visible only to you and will remain active unless you log out or adjust settings on another team.

You can:

  • Reorder columns.

  • Show or hide specific data fields.

  • Add metadata and AI tagging (if available to your plan).

By default, both metadata and AI tagging are hidden.

How to open column settings

Click the Manage columns button in the top-right corner in your File manager (see screenshot below).

How to customize your view

In the column manager modal:

  • Checked items are currently visible as columns

  • Uncheck any item to hide it from view

  • Drag items to reorder them

  • Scroll down to access Metadata and AI tagging fields if enabled for your workspace

Example: In the screenshot below, the user has chosen to display only the metadata columns for a cleaner layout.

How to download file info as CSV

You can easily export a complete overview of your Team’s files in the CSV format. This feature generates a downloadable table containing key information about all files in your Team workspace. It is perfect for reporting, backups, or analysis in spreadsheet tools like Excel or Google Sheets.

You can find the Download file info as CSV button in the top-right corner next to the Manage columns button.
