How to easily create and manage File Request

What is a File Request?

The File Request feature in Pibox allows you to receive files such as music tracks, videos, images, and documents directly into a designated folder in your Pibox workspace from external collaborators. Simply share the unique link with your network, and they can upload their files effortlessly.

All uploaded files will be automatically organized in the selected folder, ensuring seamless file management. This feature is accessible on both web and mobile platforms and is available with the Pibox Pro plan.

How to сreate and сustomize a File Request

Step 1: Create a folder

To get started, choose a folder in the Files Tab to organize the incoming files. Using an empty folder is recommended for easier management. Once the folder is ready, click on it, and then click on the File Request button.

💡 Note: Only registered Pibox users with access can create File Requests. Guest users do not have permission to use this feature.

Step 2: Enable the File Request link

When the Manage File Request window opens, toggle the Access switch to generate a unique link. Copy this link and share it with collaborators. You can disable the link anytime by switching off the toggle.

Step 3: Customize File Request settings

In the Manage File Request window, you can adjust the following settings:

  • Expiration – Set a time limit for the link. Once expired, the link will no longer be accessible.

  • Display Files in Chat – Enable this option to have all uploaded files automatically appear in your Pibox chat.

  • Description – Add a short note to provide collaborators with specific instructions or details about the files you’re requesting.

These customization options ensure that every File Request aligns with your workflow and communication style.

How to upload files using the File Request feature

When collaborators click the File Request link, they’ll see an upload window where they can:

Drag and drop files into the upload area.

Click the “Upload files” button to select files from their device.

Options available during file upload:

  • Rename Files – If there’s a typo or mistake, click the Rename button to edit the file name.

  • Delete Files – If the wrong file was uploaded, click the X icon to remove it.

Providing user information

After selecting files, users will be prompted to enter their name and email to initiate. Registered Pibox users can log in with their credentials.

Finalizing the upload

To complete the process, users need to click the Confirm Upload button. A status message will indicate whether the upload was successful.

💡 Pro Tip: The session on the uploader’s device is saved for convenience. This means they can easily return and upload more files without needing to re-enter their information.

Managing File Requests

You can view and manage active File Request links under the Links tab, just like your Shareable links. This helps keep track of all active requests in one place for better organization.
